Duties

  • Provide administrative support to the office staff and management team
  • Manage and maintain office supplies, ordering and inventory
  • Answer and direct phone calls, take messages, and respond to inquiries
  • Greet visitors and direct them to the appropriate person or department
  • Assist with scheduling and coordinating events and meetings
  • Handle incoming and outgoing mail, including sorting, distributing, and organizing documents
  • Perform data entry tasks, such as updating databases and spreadsheets
  • Assist with filing and organizing paperwork
  • Assist with HR , Benefit and payroll tasks
  • Assist with onboarding new team members
  • Assist with daily reconciliation, cash management and deposits
  • Interface with vendors and reps to get quotes and reduce costs
  • Maintain and improve employee culture activities

Requirements

Qualifications

  • Proven experience as an office administrator or in a similar role
  • Proficient in using Google Suite (GSuite, Docs, Sheets, Slides, Gmail, Calendar)
  • Ability to learn new technology and adapt into the office to improve efficiency
  • Knowledge of medical office procedures is a plus (e.g., medical receptionist experience
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to prioritize tasks and manage time effectively
  • Proficient in data entry and typing skills
  • Ability to maintain confidentiality of sensitive information
